Overview
The International Bunker Industry Association (IBIA) is a membership organisation that is involved in all aspects of the Marine fuels supply business. We are looking for an Administrative Assistant in our Singapore Office. Ideally, someone who also has a basic knowledge of booking keeping. We are looking for an individual who will enhance our Association. This is an exciting varied role where no two days are the same! We will give you exposure to different aspects within the Bunker Industry, there may also be the opportunity for international travel to support the Regional Manager.
Responsibilities:
- Events & Training
- Set up and run a variety of events each year, to include the MPA training program & Gala Dinner.
- Identify venues & liaise with them to set up each event
- Create and manage an event budget
- Market to members and non-members
- Manage bookings
- Generate sponsorship income (Gala Dinner)
- Manage the event on the day
- Post-event feedback.
- Identify ideas for new events and work in conjunction with the Executive Committee & Secretariat globally to add suitable events to the calendar.
- Work with the Secretariat in the UK to market the IBIA annual convention and dinner.
- There will be occasional opportunities for international travel.
- Membership
- Develop an understanding of the membership and their needs.
- Market IBIA’s services via newsletters, website, social media and events to recruit new members.
General
- Liaise with other members of the IBIA Secretariat to ensure efficient working.
- Work with the UK Secretariat on global issues: events calendar, website updates, training programme, marketing.
- Data Entry Bookkeeping – Inputting supplier and customer invoices into SAGE 50
- Billing – Process Payments and Debt chasing
- Clerical and Administration Duties – Filing, scanning, emailing, correspondence, liaising with board members, ad-hoc duties as required by the Regional Manager or Board Members.
- Facilities Management – ensure any issues are raised with building manager.
- Liaising with clients.
Requirements:
- At least 2 years working in an administration role
- Some basic accounting knowledge
- Have good written and verbal English
- Have excellent communication skills and be customer orientated
- Organised, meticulous, good time management skills
- Have initiative and a willingness to learn all aspects of the industry
- Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in Engineering (Marine), Business Studies/Administration/Management, Finance/Accountancy/Banking, Marketing or equivalent.
- At least 2 Year(s) of working experience in the related field is required for this position.
- Preferably Entry Level specialized in Clerical/Administrative Support or equivalent.
