Job description
As our new Office Assistant, you will become part of a minor office of approx. five colleagues characterized by a free and friendly atmosphere, high energy and professionalism. You are also going to cover for our Office Manager in Panama when needed in e.g. vacation periods.
You will play a vital role at the office and be the centre of all daily practicalities, and supportive and administrative tasks. Your main responsibility is to make the office run as smooth as possible and always looks its best and create a feeling of ‘a home away from home’. It is crucial that all our customers, suppliers and collaborators get a warm welcome in the office.  
To possess this position, it is important that you are motivated by an all-around role and have a very high level of service. It is imperative that you enjoy helping other people and are willing to go an extra mile when needed.

Areas of focus

  • First point of contact at the reception including answering and forwarding of phone calls
  • Support Management on various tasks
  • Maintaining an organized filing system
  • Helping organize and maintain office common areas
  • Schedule meetings and appointments and manage travel itineraries
  • Coordinating events
  • Coordination of daily lunches
  • Procurement of office stationery and refreshments
  • Maintaining communications with all relevant local companies, organizations and foundations within the industry
  • Providing support to other departments, as required

Your professional skills

  • At least 2 year of experience in an administrative role
  • Solid experience with IT (Microsoft Office)
  • Fluent in written/oral English, knowledge of Spanish is desirable
